Description
Is This You?
- Do you believe the hardest part of health isn’t knowing what to do, but doing it, and this is where a coach has the greatest impact?
- Are you the coach clients open up to by session two, and who still holds them accountable when obstacles or a plateau hits?
- Are you ready for a full caseload in a real clinical practice, not a handful of clients booked session by session?
About Us
Well Designed Functional Medicine is a functional medicine practice located in Onalaska, WI, helping people break free from chronic symptoms through root-cause care, education and partnership. Many of our clients come to us with complex, long-standing issues: gut and immune problems, autoimmunity, hormone imbalance, fatigue and inflammation. Our practitioner builds the plan; our coach helps clients live it. We have customized programs, protocols and an established team, so you will be stepping into a working system, not building one from scratch.
Our mission: We believe our members were designed to be well. We provide a clear path forward, partnering with them, to restore health and live with purpose.
Our Core Values
Our core values shape how we care for our members and how we work as a team:
- Integrity: we do what is right, communicate openly, and bring our best to every task and conversation, never “good enough.”
- Collaboration: we were created for connection; we partner with members on their healing journey and support one another as a team.
- Hope: true healing needs hope and peace, so we stand firm on the Truth that brings healing and stay curious when members get off track.
- Compassion: no one should walk this road alone, so we pause, listen, stay fully present, and offer an encouraging word.
About This Position
Well Designed is hiring an experienced Health Coach to work alongside our provider, helping members put their care plan into action between visits. Our practitioner designs the treatment plan; you are the one who helps clients actually live it: through nutrition, detox, movement, sleep, stress and daily habits that really make a plan succeed.
This is a full-time role. Client sessions run Monday through Thursday. Fridays are for training and admin work, and you should expect to work them while you ramp up. As you build efficiency and proficiency, the Friday workload will shrink.
What the Job Actually Looks Like
This is not a fee-for-service coaching practice with a handful of clients. You will work inside a high-volume clinical practice:
- Caseload: about 130–150 active clients to support.
- Program clients: about 60% of that caseload (roughly 75–80 clients) are enrolled in a structured program (6 months on average) with regular 1:1 coaching and group sessions.
- Weekly schedule: built for up to 18 one-to-one sessions (30 minutes each) and three group sessions (45 minutes each).
- Between sessions: you will answer client portal messages, follow up on missed appointments, create educational materials, facilitate member engagement through our private social media page, and keep our practitioner updated, largely based on your own judgment.
- You will work closely with Dr. Jackie, and you will be expected to manage this caseload with a high degree of autonomy within your first month.
Key Responsibilities
One-on-One Coaching
- Run coaching visits with clients: build rapport, connect to their purpose, lead with confidence as they move through their journey, and form a personal coaching plan
- Create a targeted nutritional guide for each client, read food logs, and advise appropriately to advance their goals
- Hold up to 18 virtual 1:1 sessions a week, keeping each client moving toward their goals
- Set specific, achievable goals with clients and revisit them at every session
- Do real mindset coaching: help clients reframe plateaus and setbacks as data, not failure
- Translate program successes into long-term membership by delivering high-value client care and support
Implementing the Care Plan
- Translate the practitioner’s care plan into daily practice: nutrition, meal timing, detox, movement, sleep, stress, hydration and habits
- Support clients through elimination diets, supplement protocols and other program steps as directed by the practitioner
- Explain the reasoning behind each step in language clients can put into real practice
- Work within a health coaching scope and applicable state law: no diagnosing, no prescribing, no changing medical treatment plans, and no nutrition work outside scope of state professional license
- Escalate clinical questions and concerns to the practitioner promptly
Portal Messages & Follow-Through
- Answer client portal messages independently, and know when a message needs practitioner input
- Track each client’s progress against their goals and program milestones, and highlight measurable wins to celebrate
- Follow up with clients who miss sessions or drift from their plan
- Flag clients who are struggling, or who may need more support, to the practitioner early
- Document sessions, notes and progress in Cerbo (EHR) the same day
Group Coaching & Education
- Lead three 45-minute group sessions a week built on our pillars of health: detoxification, nutrition, movement, stress reduction and mentorship
- Create and deliver a weekly 30-minute workshop with a practical habit or mindset application
- Build community and engagement throughout their health journey
- Create supporting material (recipes, routines, handouts, guides) using Canva and Google Workspace
- Take on creative projects: newsletters, testimonials and client educational resources
Collaboration & Practice Support
- Stay aligned with our practitioner through clear notes, timely updates and clean handoffs
- Take part in team huddles, case reviews and training
- Take ownership of new projects and ideas, and help improve the ones we have
You Are the Right Fit If You…
- Believe behavior change is the real work, and are patient with how slowly it sometimes happens
- Listen more than you talk, and coach by asking rather than telling
- Can hold someone to a commitment without shaming them for missing it
- Stay steady when a client struggles, and lean in rather than back off
- Take a new idea or project and run with it, without waiting for a checklist
- Work independently and still clearly communicate with your care team
- Care whether the client actually gets a result, not just whether the session happened
Compensation & Benefits
Pay: $50,000 – $65,000 per year, based on experience and qualifications
Bonus: Bonus opportunities based on key performance measures
Schedule: Full-time. Client sessions Monday–Thursday during U.S. Central business hours; Fridays for training and admin, heavier while you ramp up initially
Location: Fully remote (our clinic is based in Onalaska, WI); Central, Eastern or Mountain time zones preferred
Retirement: 3% automatic 401(k) contribution from us, no employee match required
Time off: Two weeks paid vacation and at least six paid holidays
Travel: Two in-person team conferences a year (travel expenses covered)
Growth: Ongoing leadership and personal growth development
Perks: Discounted supplements and wholesale labs
Health insurance: Not offered
